Accounts Administrator

Our Andover based Finance team is looking for a proactive, detail-focused Accounts Administrator to join the existing team. The role is focused on collaboratively supporting our commercial fleet clients through accurate job processing, invoicing, portal management and responsive customer service.

Role Overview

We are seeking a detail-oriented and proactive Accounts Administrator to join our expanding team. This role is integral to supporting our Commercial Fleet Clients by ensuring accurate job processing, timely invoicing, portal management, and responsive customer communication.

The ideal candidate will have strong administrative skills, experience gained within the automotive or fleet sector, and the ability to manage multiple tasks in a fast-paced environment.

Key Responsibilities

Loading Technician Reports
  • Accurately input technician time, labour details, and parts used into internal systems.
  • Ensure all job information is complete and compliant before processing.
  • Reconcile job cards with technician reports to maintain billing accuracy
Job Submission to Customer Portals
  • Upload and submit jobs to customer fleet portals for repair authority.
  • Monitor approval status and follow up where required.
  • Ensure all supporting documentation is attached and correctly referenced.
Customer Query Management
  • Respond promptly and professionally to customer queries relating to jobs, invoices, and repair authorisations.
  • Liaise with workshop and management teams to resolve discrepancies.
  • Maintain strong working relationships with fleet managers and commercial clients.
Invoicing
  • Raise accurate customer invoices in line with approved works and agreed fleet pricing structures.
  • Send invoices to clients within agreed timeframes.
  • Ensure all supporting documentation accompanies invoices where required.

Key Skills & Experience

  • Previous experience in an accounts administration or automotive administration role (fleet experience desirable).
  • Understanding of technician time recording and parts allocation.
  • Experience working with customer fleet portals and invoicing systems.
  • Strong attention to detail and accuracy.
  • Excellent communication and customer service skills.
  • Ability to prioritise workload and meet deadlines.
  • Proficiency in Microsoft Office and accounting/garage management systems.
